Executive Assistant / Bookkeeper

The U.S. Green Building Council of New York (USGBC New York), a nonprofit organization working to advance sustainable buildings in the New York City area, currently has an excellent opportunity for a highly motivated and enthusiastic individual who is interested in being part of the growing green building movement.  USGBC New York is in the process of a significant expansion and this position presents a unique opportunity with a marquee environmental organization.

Position Overview: 

This Executive Assistant / Bookkeeper will provide comprehensive administrative support to the Executive Director and be responsible for bookkeeping.  This person may also provide limited assistance to the Director of Development and assist with other tasks as needed.  Candidates should have the ability to work well with a diverse staff and volunteers, take on special projects and work independently.

Responsibilities:

Administrative:

  • Prepare correspondence, documents, presentations and reports
  • Handle telephone messages and correspondence
  • Schedule and coordinate logistics for meetings
  • Maintain directory of professional contacts
  • Handle general administrative tasks and special projects as needed, including assistance to the Director of Development

Bookkeeping:

  • Prepare monthly financial statements, reconcile accounts, maintain general ledger, track budgets, prepare monthly bank requisitions and analyze and review financial requisitions
  • Assist with Accounts Receivable and Payable load
  • Take direction from the Executive Director and Budget & Finance Committee

Qualifications:

  • 1-3 years professional office experience, including at least 2 years experience in accounting or bookkeeping
  • Certificate or bachelor degree in Accounting / Bookkeeping or Finance preferred
  • Previous general ledger accounting, bookkeeping and reporting experienced preferred
  • Attention to detail and ability to handle multiple tasks
  • Excellent computer skills (Microsoft Office/ Excel /Quickbooks)
  • Team player with outstanding interpersonal skills
  • Appreciation of USGBC mission and environmental issues

Compensation: Compensation is competitive and commensurate with skill, knowledge and experience level, in addition to a generous benefits package.
